What are Shared Folders?

Using Shared Folders in Demostack

Shared folders enable seamless sharing of assets across various workspaces. A shared folder can be shared with one or more workspaces or tags (groups of workspaces). When a folder is shared, users have read-only access to its contents, ensuring that the assets remain unaltered. However, users can still personalize demos by modifying variables.

Viewing Shared Folders

Shared folders are visually marked with an icon, distinguishing them from regular folders. This helps in easily identifying shared resources.

On the workspaces page, you can easily view the number of shared folders associated with each workspace. This provides a quick overview of how assets are distributed across your workspaces.

Creating a Shared Folder

To create a shared folder, you need to have admin user privileges. Follow these steps to create and share a folder:

  1. Create a Folder: Click on the "create folder" icon to set up a new folder.
  2. Access the Folder Action Menu: Once the folder is created, click on its action menu.
  3. Manage Access: Select the "Manage access" button. A window will open where you can choose one or more workspaces or tag groups to share the folder with.

Note: If you revoke access to a shared folder, it will revert to a regular folder. Additionally, the contents of shared folders can only be edited in the workspace where they are originate and only by users who have editing permissions in that workspace.

Benefits of Using Shared Folders

  • Controlled Access: Ensure read-only access to assets, preventing unwanted modifications.
  • Easy Distribution: Distribute one-to-many assets efficiently, especially useful for managing channel partner teams.
  • Centralized Management: Create a dedicated workspace to manage and distribute up-to-date resources.

Recommendations for Channel Partner Teams

For customers managing channel partner teams, we recommend creating a private workspace to manage the most up-to-date resources. From this workspace, you can distribute assets to various workspaces, ensuring that all team members have access to the latest materials without the risk of unwanted actions being taken on the resources.

By utilizing shared folders, you can maintain control over your assets while enabling efficient collaboration and resource distribution across your organization.
