Demostack workspaces enable you to manage demo assets and user access to content effectively.
Workspaces also enable the distribution and management of demo content across different spaces and teams. A key feature of workspaces is robust user access control, ensuring that only the right people have access to specific content. Whether you're creating team or vertical-specific demos or working with channel partners, workspaces help you maintain a structured workflow. Each Workspace can hold Folders, Assets, and can be tagged, providing flexibility in access and visibility, ensuring users can create, collaborate, and securely share content as needed.
Types of Workspaces

Draft Workspaces
- Purpose: A personal space to test and experiment with demo content.
- Access: Only Admin and Editor roles can access.
- Location: Found in the side navigation menu.
- Restrictions: Exclusive to the user, ensuring privacy while drafting content.

Public Workspaces
- Purpose: A shared space accessible to all members of the organization.
- Access: Created by Admin and Editor roles and open to all users.

Private Workspaces
- Purpose: For content relevant to a select group of users.
- Access: Only accessible by invite; Admins can join without an invitation.
- User Management: Admins can add or remove users at any time.
Creating Workspaces
- Navigate to the waffle (3x3) icon in the left-hand navigation bar.
- Click the 'New Workspace' button in the upper-right corner.
- Enter a name for your workspace and choose the type:
- Public: Accessible to anyone in your organization.
- Private: Accessible only to members you invite.
- Click Create.
Modifying Workspace Types
Workspace types can be switched between Public and Private to suit evolving access needs.
- Navigate to the waffle (3x3) icon in the left-hand navigation bar.
- Click the desired workspace.
- Click on the kebab menu (3 vertical dots).
- Click on the Edit Settings button.
- Use the dropdown menu to determine the workspace type: Public or Private.
- Click Save.
Archiving and Restoring Workspaces
Archiving a Workspace
- Navigate to the All Workspaces page.
- Find the Workspace to archive, hover over it, and click on the three dots menu.
- Select Archive Workspace and confirm.
Note: Archiving a workspace deactivates active share links, meaning external users may lose access to assets.
Restoring a Workspace
- Navigate to the All Workspaces page.
- Click on the filter labeled Active and select Archived.
- Find the archived Workspace you want to restore, click the three dots menu, and select Restore.
Note: Any previously shared links will remain deactivated upon restoration.
Joining and Leaving Workspaces
Joining Workspaces
- Public Workspaces:
- Navigate to the All Workspaces page. If there are available public workspaces to join, you will see a Join action.
- Click Join for the desired workspace.
- Once joined, the workspace appears in your side navigation bar for easy access.
- Private Workspaces:
- Users must be invited by Admins. Once invited:
- The workspace will appear in the My Workspaces section.
- Users must be invited by Admins. Once invited:
Presenter Users Without Workspaces
If you are a Presenter user and do not have any joined workspaces, upon logging into Demostack, you will be prompted to join a workspace. If no workspace is available for you to join, a message will notify you that you cannot proceed in Demostack unless an Admin adds you to a workspace or creates a public workspace you can join.
Leaving a Workspace
- Navigate to the All Workspaces page.
- Locate the Workspace you want to leave, hover, and click the three dots menu.
- Select Leave Workspace and confirm.
Note: Presenter users must have at least one joined workspace to use Demostack. If none exist, the app will prompt them to join an available workspace.
Inviting Users to a Private Workspace
- Select the private workspace from the left-hand navigation.
- Click the three vertical dots next to the workspace name and select Members.
- Type or paste the email addresses of users you want to invite.
- Simply hit the Space bar after each email address—no need for commas.
- Note: Only users who are registered members of your Demostack organization can be invited.
- Once invited, users will:
- Gain immediate access to the workspace.
- Receive an email notification.
